NOTE: The Citadines Bruxelles Sainte-Catherine*** is an Apart'hotel. All studios and apartments have a bathroom with separate toilet, a fully-equipped kitchen area with stove, microwave, fridge and dishwasher, TV with satellite and direct-line phone, hairdryer & safety deposit boxes. House linen provided. 5 apartments are equipped for guests with reduced mobility.

SPIE Europe has made every effort to secure the best possible group nightly room rate(s) for you at this event. To be guaranteed a room, it is recommended for participants to make their reservation well before the hotel reservation CUT-OFF DATE of 9 MARCH 2012. After the Cut-Off date, although MCI Brussels will do their best to assist participants with reservations at the preselected hotels on a case-by-case basis, they cannot guarantee the same room rate or availability of the individual properties. Alternatively, there may be a number of hotel deals available on the internet which attendees might want to research.

 
Cancellation Policy for all MCI Hotels except Flathotel, NH Hotel du Grand Sablon & Best Western Premier (see below)
All reservation modifications have to be submitted in writing. All changes are subject to the availability and at the discretion of the hotel. The Photonics Europe Housing Secretariat (MCI Brussels) reserves the right to accept or refuse a change, based on hotel availability. In the event that changes are not made in strict compliance with the below cancellation policy, guests will be directly and fully responsible for all fees and/or changes imposed.

For any modifications on arrival or departure dates from the original reservation, the Photonics Europe Housing Secretariat (MCI Brussels) reserves the right to apply the cancellation policies below:

• Cancellations received up to 48 hours prior to the actual arrival date are NOT charged a penalty fee.
• Cancellations received between 48 hours and the day of arrival will be charged a penalty fee of one night's room rate billed to the guests' credit card.
• Cancellation Policy NH Hotel du Grand Sablon & Best Western Premier - Cancellations received up to 30 days prior to the arrival date are NOT charged a penalty fee. No-shows may be charged the entire stay.
  

Cancellation Policy for Flathotel (Hotel Option for Students)

Reservations at 'Flathotel' can be cancelled without penalty up to 2 months prior to arrival date. Cancellations received between 2 months and 15 days prior to arrival date will be charged a penalty of 25% of the price. Cancellations received less than 15 days prior to arrival date will be charged a penalty of 50% of the price.
