Hotel Reservation Cut-Off: 28 December 2009
Make your hotel reservations by 28 December 2009 to receive the special negotiated room rates. After this date, hotels reserve the right to charge the market rate for rooms.
Deposit Required
All reservation requests must be received with a credit card or a check in the amount of $150 per room reserved (deposit for suites is $300). Credit card will be charged the deposit amount at the time of booking. Remaining balance is due upon arrival.

Policies and Information
Deposit Required
To secure a room reservation, requests must be received with a credit card or a check in the amount of $150 per room reserved (deposit for suites is $300). Credit card will be charged the deposit amount at the time of booking. Remaining balance is due upon arrival. Problems or delays with your payment may affect your hotel request.
Changes and Cancellations
All changes and cancellations must be made in writing by email or fax only to the San Francisco Housing Bureau up to 28 December 2009. Following 4 January 2010, all changes and cancellations must be made in writing directly with your specific hotel booked.

Changes to Hotel Reservations
Changes made between cut-off date 28 December 2009 up to and before 72 hours prior to arrival are not penalized.
Cancellations of Hotel Reservations
- Cancellations made between cut-off date 28 December 2009 and 72 hours prior to arrival will be charged a $20 processing fee. The balance of the deposit ($130) will be refunded.
- Failure to arrive on confirmed arrival date will result in loss of $150 deposit.
- Cancellations made within 72 hours prior to arrival will forfeit the full deposit (of $150).

Information shared by hotels
Attendee understands that if an audit to verify occupancy in the contracted rooms is necessary, reservation information will be shared by the hotels with the Housing Bureau to facilitate the audit.
Discounted rates
SPIE has negotiated reduced rates with 15 hotels selected to represent a range of prices and amenities. All hotels are within walking distance to The Moscone Convention Center, and therefore, shuttle service is not provided.
Attendee protection
Book in the SPIE contracted hotels, with negotiated rates. The SPIE negotiated hotel contracts include guarantees for attendees such as having recourse for lost or cancelled reservations. If a SPIE contracted hotel within the block overbooks, an attendee who used the official Housing Bureau to secure the room will be guaranteed a room at another hotel of like standard. If an attendee secures a room through another source, that hotel is under no contractual obligation to provide compensation. The San Francisco Housing Bureau immediately takes care of problems, including billing issues, which arise for attendees who have booked through the official Housing Bureau.
Assuring the future of Photonics West
Photonics West is required to fill a minimum number of hotel rooms in our contracted hotels in order to continue to hold this event in San Francisco. Photonics West rooms booked outside SPIE-contracted hotels, will not be credited to this event and Photonics West will be in jeopardy of losing meeting dates and space in San Francisco.
