Letters of Invitation

FOR CONFERENCE ATTENDEES & AUTHORS: Individuals requiring letters of invitation to obtain travel visas to present their papers may access and print an Invitation Letter Request Form.

FOR EXHIBITORS: Exhibitors requiring letters of invitation to obtain travel visas to participate in this exhibition, click here to obtain an Exhibitor Invitation Letter Request Form

  • Please fill out a separate form for each person requesting a letter
  • Fax completed form to SPIE at 1-360-647-1445 or send electronically to email address on form 
  • All letters of invitation will be sent by airmail and by e-mail (as a PDF attachment) unless a courier account number or credit card number with expiration date is provided with the original request
  • Please allow up to 15 business days to process your request
  • SPIE is not able to contact U.S. Embassies in support of an individual attempting to gain entry to attend an SPIE meeting
  • Since visa applications are now under greater scrutiny for both business and personal travel, please see the information below on estimated wait times for obtaining a travel visa.

We recommend that you secure your travel visa before registering for the conference as cancellations after the preregistration cutoff can result in a cancellation fee.

Passport Requirements to Enter the United States

As of 31 December 2006, anyone traveling to or from the US via air or sea from Canada, Mexico, Central and South America, the Caribbean, and Bermuda must have a passport or other secure, accepted document to enter or re-enter the US.

As of 1 June 2009, the above requirement extends to all land border crossings, as well as air and sea travel.

The U.S. Department of State has added a new feature to its website regarding visa wait times. This site provides estimated waiting periods to get an interview to apply for a visa and the estimated time it will take to process the application at the consular section. The visa wait times are shown for various locations around the world. Please check with the local embassy or consular section to confirm the information.
