Your compensation is comprised of multiple components, making up a full package of benefits which includes an honorarium payment for teaching, travel and lodging expenses, a bonus for high attendance, and a free conference registration that provides full access to the conferences and events at the SPIE event you instruct at.
Payment
Beginning in January 2008, SPIE now offers two options for your compensation:
Option 1
Flat fee payment that combines honorarium and estimated expenses. Using this option, it is not necessary to submit receipts for your expenses following your course.
Option 2
Honorarium payment plus reimbursement of allowed expenses upon submission of receipts following the course.
The following expenses are allowed for reimbursement:
- Estimated round-trip coach airfare* or mileage if you choose to drive
- Hotel: 1 night per each half-day of instruction (a full-day course provides 2 nights hotel)
- Per diem (~$50)
- *airfare estimates are made for flights departing from the closest major airport to the instructor's home town to the destination city. We use a mid-range fare derived from online travel services (e.g. Expedia, Travelocity, etc.).
Your Short Course Instructor Agreement (contract), which lists the exact payment terms for the course, will arrive 4-6 weeks following final confirmation of your course at a SPIE event. Your honorarium or flat fee payment, as designated on your contract, will be mailed from SPIE headquarters approximately 3-4 weeks following the presentation of your course. If you have selected Option 2, expense reimbursement up to the amount stated in your contract will be sent at the same time, assuming you have submitted your receipts.
It is important that you return your signed agreement form along with the completed reimbursement form and copies of receipts. SPIE cannot pay you without a signed instructor agreement.
If you are a first-time instructor for SPIE, you will also need to submit an IRS W-9 form before we can issue payment. If you are a non-U.S.-based instructor, additional forms may be necessary. Make Your Own Reservations
Course instructors are requested to make their own reservations for both airfare and lodging using the information provided in the Advance Program. SPIE cannot guarantee accommodations for you. For events where lodging availability is limited, we are usually able to provide advance notice when hotel blocks open. You are strongly encouraged to make you airfare and hotel reservations as early in the process as possible; in the event your course is cancelled due to insufficient advance registration, SPIE will reimburse you for nonrefundable airfare and/or hotel expenses.
Bonus
To encourage instructors to help SPIE promote their courses, we are glad to offer a bonus to those whose courses attract a large audience. Bonuses are based on a per student rate for those courses that have more than 30 attendees.
Fee Waiver
When courses are scheduled in conjunction with an SPIE symposium, a complimentary registration to all technical sessions is provided to instructors. This waiver does not include Proceedings volumes, which will need to be ordered separately if you wish to receive a copy. This fee waiver typically represents a savings to instructors of $500-$600.
