  3. Once you have signed in, click on the link to Manage My Active Submissions, then click on the name of the meeting.
    • You will find your paper number (for example 8349-57), your paper title, and a link to "Submit Your Manuscript."
    • You will only see a link to "Submit Your Manuscript" when you are listed as the Contact Author for the paper. If you are the contact author and you do not see a link, contact your SPIE staff proceedings coordinator.
    • The SPIE Submission System accepts only .doc, .docx, .rtf, .ps, .prn, and .pdf files. Other formats will not upload.
    • If submitting in PostScript, you must convert your manuscript to that format before beginning the submission process. To create a .ps (Postscript file) from a .pdf file see Creating a PostScript File.
  4. Follow the steps in the Submission Wizard to submit your Title, Abstract, Authors, Manuscript, References, and optional Multimedia Files.
  5. A few minutes after you upload your paper, it will be available for you to view the upload as a new .pdf file.
    • If you are already signed in to http://spie.org/myaccount, a link to "approve manuscript" will appear.
    • You will also receive an email telling you the upload is ready for your approval.
    • Disregard the "reformatting" messages in the email unless the upload failed.
  6. Follow the automatic link and instructions for approving/disapproving the upload.
  7. If you disapprove the PDF, make the necessary changes to your manuscript, and submit a revision by following the "Submit Manuscript Revision" link on your Task List for that paper.

Submit a Multimedia File

Multimedia files are submitted through the SPIE manuscript submission wizard along with your paper. To include a multimedia file in the online publication of your SPIE Conference Proceedings paper follow these steps:

  1. Proceed through the SPIE Manuscript Submission Wizardfor submitting your manuscript.
    • A new section has been added to allow you to upload your multimedia files.
    • Please upload them in the same order they are referenced in your paper.
    • You may reorder files in the submission wizard as necessary.
  2. When you are asked to approve your paper for publication, you will also need to review the multimedia files.

Your paper, with the associated multimedia files, will be published on the SPIE Digital Library 2 to 4 weeks after the meeting has concluded. Your multimedia files will be accessible from your paper's abstract page on the SPIE Digital Library, by clicking on the link within the PDF of your paper, or by typing in the URL found in the printed Proceedings of SPIE.

Manuscript Revisions

If a revision to your manuscript is requested, either by SPIE staff or by the Conference Chair, you will have five business days to submit your revision.

  • For Post-meeting Proceedings (manuscript due date one month before conference, papers published shortly after conference), manuscript revisions are accepted until the Monday following the last day of the conference.
  • For On-site Proceedings (manuscript due date ten weeks before conference, papers published on the first day of conference), manuscript revisions are accepted until two weeks after the manuscript due date.

Please do not submit a draft of your paper with the intent of later submitting a revised final version. If you are under pressure to submit your paper, but need more time to finalize it, contact the SPIE staff proceedings coordinator for the conference/volume in which your paper/presentation belongs, and ask if due date extensions are available.
