Subscription Agents: Information on SPIE Journals

Subscription agents worldwide may submit orders and payments for subscriptions to SPIE journals for organizations or for individuals who are not members of SPIE. The same terms apply to both institutions and these individuals.

The SPIE journals and their first years of publication are:

  • Journal of Electronic Imaging (1992)

  • Journal of Nanophotonics (2007)
  • Journal of Photonics for Energy (2011)
  • Neurophotonics (2014)
  • Optical Engineering (1962)

Every journal is hosted on SPIEDigitallibrary.org.


Subscription Term and Activation

Subscriptions are valid for the calendar year―from 1 January through 31 December, regardless of when the subscription is ordered. No refunds on cancellations are granted.

Subscriptions will be activated once full payment is received.

In order to have online access, which is controlled by IP authentication, a subscriber must have an SPIE Online Journals Institutional Subscription Agreement on record with SPIE which has current contact and IP range information. For an institution with more than one site, SPIE needs to have the completed first page for the main subscriber and the IP addresses for all covered sited is the appendix.


Renewals

If a subscription has not been renewed by 31 December, online access will be terminated until the subscription is renewed and payment received for the new year’s subscription.


Online Site Licenses

Online access for a single institutional site is the basic subscription for each SPIE journal; it includes access to the journal’s content from volume 1 to the content published in the subscription year.

Every SPIE journal has an online format; seven of the ten journals have print format as well (see below) which may be ordered in addition to the online site license.

SPIE defines an institutional site as a distinct location with separate administration.

For two sites, an organization should purchase an online subscription and submit the SPIE Online Journals Institutional Subscription Agreement (see above on subscription activation) for both sites.

For three or more sites, an organization should order a multi-site online license, which costs three times the price of single-site license.

If an institution wants to have differing numbers of paper copies and sites covered by online subscriptions, it should order the appropriate online site licenses and paper copies.


Procedures for Submitting Subscription Orders

SPIE provides a subscription order form that a subscription agent may use to submit an order for new or renewal subscriptions for an institution. That may be submitted by email (to subscriptions@spie.org), fax (to +1 360 647 1445), or mail (P.O. Box 10, Bellingham, WA  98227-0010 USA). Alternatively an order may be placed with

SPIE Subscription Services by telephone to +1 360 676 3290 (or +1 888 504 8171 US Only).

If an agent is submitting multiple orders at once, a spreadsheet with all of the necessary information may be sent to SPIE by email, fax, or mail.


Procedures for Making Payments on Subscription Orders

All payments must be made in U.S. Dollars.

They may be drafted on a U.S. bank or by international money order with SPIE the payee.

Payment by bank transfer must include a copy of the transfer order.  For wire transfers and bank information, contact SPIE at customerservice@spie.org. 

Visa, MasterCard, Discover, Diners Club, and American Express credit cards may be used for payments with card number, security code, expiration date, and signature provided.

Subscriptions will be initiated only after payment is received.

Journal articles are published in the SPIE Digital Library "e-first": as soon as articles are copyedited and typeset they are published online.  The articles are available to researchers promptly in their final form.

Obtaining COUNTER Statistics

Users with administrative rights can download usage statistics by signing in to the SPIE Digital Library using their personal user account and then navigating to My Account > Institutional Administration > COUNTER Reports. Mail Dates and Claim Policy

Subscription agents and subscribers should be familiar with Journal Mail Dates and Claim Policy page on and follow the directions in placing claims.

Print volumes of the SPIE journals are mailed out after the online issue is closed to publication. The cover date of the issue reflects the period during which the papers in that issue appear online, rather than the date of print distribution. For example, a January issue contains papers published online during January, and the issue is printed and mailed in mid-February.

Claims must be placed within four months of the mail date. To make a claim on a subscription, complete the Claim Form and return it to customerservice@spie.org.
